Kansas program

Rides to appointments through your KanCare plan

Rides to medical appointments arranged through your child’s KanCare plan.

What it is

Rides to medical appointments arranged through your child’s KanCare plan.

Travel can be a large part of cancer care. KanCare plans arrange rides and can approve meal and lodging reimbursement. The right ride company depends on your child’s plan.

Eligibility rules
  • The plan checks KanCare eligibility on the trip date and any unmet spend-down. Medically urgent trips use a separate process from routine bookings. NEMT is not emergency transport.
What you get
  • Covered rides through your child’s plan when the trip meets its rules.
  • One parent, guardian or attendant can accompany the child when plan conditions are met.
  • Meals and lodging can be reimbursed with approval and receipts.
What the help includes
  • The ride company and care manager can explain the conditions for an accompanying adult.
  • The plan can approve necessary meals, lodging and one accompanying adult for a distant covered treatment trip. Treatment, transport, escort and overnight expenses need separate approval. Transplant or out-of-state care does not by itself guarantee travel reimbursement. Before your family commits to costs, the care manager or broker confirms the nights, people, meal and lodging limits, receipts and claim deadline in writing.
  • If you drive yourself, the plan can pay mileage; Sunflower pays about 30 cents a mile. Ask the broker for the trip form before the journey.
If you decide to apply
  1. Ask the ride service listed on your KanCare card about the appointment and pickup.
  2. Have the plan card, appointment date, time and clinic address ready. Routine rides need at least three days’ notice.
  3. Ask the care manager about approval and rates for meals, lodging or out-of-state care before making arrangements.

After you ask
  • A confirmed booking gives a pickup time. The meal and lodging process uses a reimbursement form and receipts.
  • Current published contacts are Healthy Blue: MTM Health, 833-270-2254; Sunflower: SafeRide Health, 877-917-8162; and UnitedHealthcare: 877-796-5847, published for Modivcare.
  • The number on the current member card or plan confirmation takes priority if the contractor changes.
  • Book routine rides at least three working days ahead to be safe.
  • A short-notice medically urgent trip needs the urgent-ride process, often with the treating facility confirming the need; it should not be rejected solely as an ordinary late booking.
  • NEMT is not emergency transport.
Good to know

Meals and lodging are reimbursements. Approval and receipts matter, so a booked ride does not guarantee every travel cost is covered.

Other details
  • Ronald McDonald Houses in Kansas City and Wichita are another lodging conversation with the hospital.
Ask your social worker

“Could our plan help with rides, meals or lodging for treatment? What costs and limits would remain, and could you help arrange the right travel review?”

Why I’m asking: I want to know the travel support before our family pays for a trip.

Who does what

The three parts, side by side. The agency decides; nobody on this page does.

You

Book three days ahead and keep every receipt for meals and lodging.

Your social worker

The clinic confirms appointment times so the ride can be booked.

The care team

Nothing.

Who decides
The ride company the KanCare plan uses.
Ask your social worker
“Which ride company does our plan use, what does it pay for meals and lodging, and who approves travel for treatment out of state?”

How to apply

First step: Call the ride number on your KanCare plan card and book the next appointment.

  1. Find the ride number on the KanCare plan card and book at least three days ahead.
  2. Ask what the plan pays for meals and lodging, and keep receipts.
  3. For a transplant or a trip out of state, ask the plan in writing who approves it.

Where it starts: Current member-card broker confirmation controls. Healthy Blue/MTM 833-270-2254; Sunflower/SafeRide 877-917-8162; UnitedHealthcare 877-796-5847 from county directory. Routine notice usually at least three days; urgent process separate.

What to gather

  • The KanCare plan card
  • Appointment dates and times
  • Receipts for any travel you have already paid for

How long: Routine rides generally need at least three days’ notice; the broker confirms business-day rules. Medically urgent trips use a separate short-notice process.

What a yes looks like

A confirmed pickup and separate written approval of any escort, meals, lodging, rates, receipts and reimbursement deadline.

What a no looks like, and the next move

Ask which condition was not met, and ask the plan care manager to help.

Watch out

  • Book routine rides at least three days ahead.
  • The broker confirms whether routine notice means business days and handles medically urgent short-notice trips separately. Meals, lodging and an escort need their own written approval, limits and receipt requirements.
  • Kansas families often travel to Kansas City. Ask the hospital about a Ronald McDonald House room as well: there are houses in Kansas City and Wichita.

Dates that change this

2024-11-01: Sunflower uses SafeRide Health, 877-917-8162, after its November 1, 2024 transition. Healthy Blue names MTM Health, 833-270-2254. A Kansas county directory lists UnitedHealthcare/Modivcare at 877-796-5847. The current member card and plan confirmation control; the Healthy Blue broker transition date needs confirmation. (not yet confirmed against the final rule)
